Coordinates and supervises family and youth programming (Stay & Play, Youth Zone, Homeschool PE, camp) at a YMCA branch: leading part-time staff, managing schedules and payroll, driving program growth and quality, and ensuring child safety. Requires youth-program experience with supervisory background, CPR/First Aid certification, and basic computer proficiency.
Under the supervision of the Program Director, the Program Coordinator provides leadership and oversight for family and youth programming, including Stay & Play, Youth Zone, Homeschool PE, Tots at Play and other assigned programs and events. This position supervises program staff, supports program growth and quality, and creates engaging experiences that strengthen member and family connections to the Y. The Program Coordinator also supports Afterschool, Kids Day Out, Summer Camp and overall center operations as needed.
Critical areas of expertise include: leading and developing others; managing multiple programs and priorities; supervising, scheduling, hiring, onboarding and developing part-time staff; delivering high-quality youth and family programming; building strong relationships with members and participants; monitoring program performance and identifying opportunities for growth; implementing curriculum and program standards; and maintaining a strong focus on safety, organization and the overall member experience.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Program Quality and Growth
Family Programming> Family Programming / Stay & Play / Youth Zone
- Leads the daily operation and supervision of Stay & Play and Youth Zone, ensuring a safe, engaging and high-quality experience for children and families.
- Coordinates and supports family engagement activities, special events and other youth programming that add value to membership and increase family participation.
- Coordinates and oversees Homeschool PE and Tots at Play, including scheduling, staffing, participant communication, program quality and opportunities for growth.
- Identifies opportunities to increase participation, strengthen retention and grow family and youth programming based on member needs and program performance.
Afterschool Programming/Kids Day Out/Summer Camp
- Supports the Program Director with operations and staff supervision for Afterschool, Kids Day Out and Summer Camp as assigned.
- Coordinates day-to-day program operations under the direction of the Program Director, including staff coordination, program implementation, participant needs, safety and program quality.
Operations
- Maintains quality and ensures that the needs of the members and the community are met within departments and program areas through an integrated program strategy that supports membership.
- Responds to member and participant concerns in a timely manner, ensuring a positive program experience for members and participants. Anticipates and exceeds expectations consistently throughout programs.
- Monitors program enrollment, participation and revenue and takes action to support established program goals.
- Assists Program Director with the development and control of department budgets so that resources are devoted to top priorities and strategic objectives.
- Serves as a Leader on Duty (LOD) as scheduled, providing center-wide leadership, supporting staff and members, responding to operational needs and ensuring a safe and positive member experience.
Team Leadership
- Provides direct supervision and leadership to direct reports to develop, motivate and retain a committed team passionate about the YMCA's mission, safety and service to members.
- Supervises and leads program teams to create and maintain meaningful and impactful relationships.
- Manages staff schedules and approves payroll for departments ensuring efficient use of resources occurs within programs at all times.
- Ensures compliance with all federal, state and county laws and regulations related to payroll, licensing, child labor laws, etc.
- Completes all job related, supervisory and other trainings as required.
- All other duties as assigned.
- This position requires availability to work flexible hours including evenings, weekends, and holidays as needed.
Safety and Risk Management
- Adhere to all Federal, State, and local safety regulations, as well as all YMCA policies and procedures related to the safety, health, and welfare of members, participants, guests, and staff.
- Ensure that all Tampa YMCA standards, leading practices, and policies are implemented and consistently followed, including those related to emergency procedures, child abuse prevention, and appropriate supervision.
- Maintain a safe and healthy environment at all times, including performing daily safety checks of program areas, equipment, and supplies.
- Supervises meals, snacks, restroom, and transition periods to promote a safe, orderly environment and encourage healthy habits.
- Conduct health checks on children for potential health concerns such as head lice, ringworm, or other communicable conditions, and reports immediately to the Program Director.
· Adhere to policies and procedures related to managing high-risk activities and supervising participants and boundaries with participants and their families.
· Ensure high-risk areas (e.g., restrooms, locker rooms, closets) are monitored and secured when not in use.
- Maintain appropriate staff-to-child ratios and provides active, engaged supervision at all times.
- Follow established sign-in/sign-out procedures to ensure children are released only to authorized adults.
- Responds appropriately to behavioral and medical incidents, documenting and reporting as required.
- Adhere to risk management training requirements including child abuse prevention.
- Support a safe, positive, and inclusive environment where children feel secure and respected
- Promptly report any suspicious or inappropriate behavior, as well as policy violations, following established association procedures.
POSITION REQUIREMENTS:
Education/ Experience Required:
- BA/BS in Youth Development, Recreation, Health Sciences, Physical Education or related field or equivalent experience preferred.
- Minimum of one to three years of experience in camp, childcare, or similar youth related programs with supervisory and payroll management experience required.
- Experience serving on leadership team of a Y (or similar) membership organization serving over 2,000 membership households preferred.
- Proven results in increasing program quality and growth through exceptional planning and organizational skills.
- Highly motivated with the consistent ability to meet or exceed goals, cultivate and retain program participants.
- Ability to quickly build rapport and develop effective relationships with program prospects and others to achieve goals.
- Consistently self-driven and goal-oriented with the ability to set effective team and individual goals and take ownership for results.
- Demonstrates ability to multi-task and adapt to changing contexts and priorities.
- Strong analytical and critical-thinking skills with the ability to identify and leverage relevant data to use in planning and decision-making.

- Proficient in using email, Internet, and other PC-based applications with the ability to learn and adapt to new technology.
Certifications/Trainings Required:
· Must complete Early Learning training within the first 10 days of position.
· Must obtain within 30 days of employment and then maintain current certifications in CPR Pro, First Aid, and Oxygen Administration.

- Ability to perform all physical aspects of the position, including, but not limited to, leading class, walking, standing, bending, reaching, and lifting.
- Ability to sit and reach, and must be able to move around the work environment.
- Hear noises and distress signals in the program environment, including in the classroom and anywhere around the zone of responsibility.
- Must have flexibility and the ability to adapt to changing circumstances.
- Ability to lift and move a minimum of 30 pounds.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
- Ability to work in a variety of environments, specifically those subject to extreme humidity/dampness, heat and cold.
- The noise level in the work environment is usually moderate to high.
- This position requires reliable transportation and willing to travel, if needed.
- This position may require availability to work flexible hours including evenings, weekends, and holidays as needed.
