Student Assistant - DGS - Office of Human Resources (West Sacramento, CA)

The Department of General Services (DGS) is seeking to hire four (4) detail-oriented, energetic, personable, and self-motivated student assistants to work at our West Sacramento location. The student assistants will work as part of the Office of Human Resources (OHR), Personnel Transactions Branch to work under close supervision of the Supervisor II, the Student Assistant will be providing assistance for four (4) main projects:

1. Official Personnel Files (OPF) – Reviewing for updated documents and complete files. Ensuring that documents are held or purged in accordance with DGS’ records retention schedule.
2. Preparing records to be digitized. HR Database - Updating contact information in our HR database.
3. Duty Statement Project – Create a centralized SharePoint location to archive and access documents as needed.
4. I9 Project – Review files for I9 documentation, make copies, data entry into spreadsheets.

Employment

This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

Prerequisites

Must be a college student attending classes during the regular term (Fall, Spring and Winter, if applicable), at one of the accredited colleges or universities on our affiliation list. Students must be enrolled in at least: six-semester units or nine quarter units for undergraduate students; four-semester units or six quarter units for graduate students.

Students declared major must match the major(s) listed in the job posting.

Majors/Fields of Study

Human Resources, Public Administration, Business Administration, Communications, Sociology, Public Policy or a related field.

Work Schedule

Flexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.

Additional Work Schedule

Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, and summer).

Compensation

$18.27 - $24.62 per hour.

Minimum Qualifications

• Must maintain a minimum cumulative 2.0 GPA.
• Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.
• Proficient with Microsoft Office Suite (Excel, PowerPoint, Outlook, Word).
• Exercise sound judgment in handling confidential and sensitive matters.
• Prioritize multiple assignments and meet timeframes.
• Work independently and collaboratively in a team environment.
• Strong attention to detail and organizational skills.

Preferred Qualifications

• Individuals who are, or have been, a dependent child in foster care, a homeless youth or a formerly incarcerated youth as defined by Government Code section 18220 are encouraged to apply and will be given priority. Duties and Responsibilities

• Assist the Personal Transaction Unit (PTU) with project-based workload, such as reviewing files for contact information and entering the information into a database to ensure our records are accurate and support compliance with AB119 union reporting requirements.
• Review employee files for I9 documentation, make copies and enter data into spreadsheets to track and maintain employee work authorizations.
• Assist with the retroactive filing of documents into official personnel files, as well as shredding and cleaning up records according to retention schedules.
• Obtain duty statements from existing files and create a centralized SharePoint location to archive these documents for easy access and long-term storage.
• Create, modify, and review data and convert into graphs, reports, excel files, entry into departmental specific systems, ensuring accessibility best practices and guidelines are adhered to.
• Perform other job-related duties as required and may provide assistance other areas of OHR.
