Support quality assurance and program teams with administrative coordination, project activities, communications, and deliverables.

Coordinate routine project logistics, including meetings, travel requests, task assignments, scheduling, agendas, action tracking, and stakeholder follow-up.

Research, compile, review, write, and translate project information and quarterly reporting materials as needed.

Assist with work plans, project coordination activities, presentations, briefing materials, and implementation-status updates.

Support budget coordination and monitor routine financial activities associated with assigned projects.

Enter and maintain procurement requisitions, track approvals and milestones, organize procurement documentation, and follow up on missing information.

Support commodity requests by compiling specifications, quantities, delivery details, and supporting documentation.

Maintain subcontractor and consultant records, trackers, deliverable schedules, authorization documentation, invoices, and performance dates.

Assist with onboarding and offboarding activities for subcontractors, consultants, and team members, including documentation and access coordination.

Maintain compliance records, including required approvals, certifications, FFATA information, safeguarding documentation, and audit-ready files.

Support annual, semiannual, and other internal or external reporting by collecting inputs, tracking deadlines, and following up with contributors.

Provide operational support for assigned country portfolios, including action trackers, calendars, meeting records, deadlines, and routine status updates.

Maintain SharePoint folders, templates, standard operating procedures, job aids, distribution lists, and other knowledge-management resources.

Support document version control, archiving, file-quality reviews, onboarding materials, and team administration.

Identify recurring administrative or documentation gaps and recommend practical improvements to processes and workflows.

Track service requests and routine turnaround times to support workload planning and team reporting.

Coordinate with technical teams and escalate missing information, overdue actions, process bottlenecks, or discrepancies when appropriate.
Requirements
-
Bachelor’s degree or international equivalent in civil society, communications, social marketing, economic development, education, environmental studies, gender, health, nutrition, research, technology, youth development, or a related field.

At least 2 years of relevant experience supporting projects, programs, or technical practice areas.

Previous experience in an NGO, government agency, private organization, or similar professional environment.

Basic understanding of project design concepts, practices, and procedures.

Strong proficiency with Microsoft Office applications; experience with SharePoint and collaboration platforms such as Teams, Zoom, or Skype is beneficial.

Strong organizational skills, attention to detail, and the ability to manage deadlines and competing priorities.

Ability to review information carefully, identify problems, and recommend appropriate corrective actions within established procedures.

Clear, professional, and positive written and verbal communication skills.

Ability to build effective working relationships with internal and external stakeholders.

Fluent English communication skills; proficiency in a host-country language where applicable is expected, with Spanish or French considered an advantage.

Ability to work with general guidance on routine responsibilities while exercising independent judgment over workflow and priorities.

Comfortable working with confidential documentation, compliance records, procurement information, and project-related materials.

Willingness to work in a typical office environment, including extended periods using a computer and performing keyboard-based tasks.

Ability to travel approximately 10%–25% as required.
