Position Summary:
The School Operations Manager (SOM) plays a critical leadership role in ensuring the smooth and effective functioning of daily operations at the school level. Reporting to the School Principal and working in close partnership with the Home Office and Student Admissions department, the SOM manages operational systems, maintains compliance, supports financial stewardship, and ensures excellent service delivery for students, families, and staff. The SOM serves as the primary point of contact for non-instructional matters and acts as a key problem-solver, supporting school-wide success and contributing to the overall mission of preparing students for success in life.
Key Responsibilities:
Budget Oversight & Financial Management
- Collaborate with the School Principal and Accounting team to develop and manage the school’s operating and Title I budgets.
- Monitor monthly expenditures, flag variances, and escalate concerns as needed.
- Review and submit monthly credit card reconciliations and manage procurement tracking.
- Oversee cash collection processes, including fundraisers, ensuring accurate recording and submission.
Procurement & Inventory
- Work closely with the Procurement team to place orders, maintain inventory, and manage supplies at the school level.
Operational Readiness & Performance
- Prepare the campus for the start of each school year, ensuring all logistical needs are met.
- Address operational issues in collaboration with network teams, ensuring timely resolution and follow-up.
- Lead end-of-year processes to ensure completion of school-wide operational tasks.
Policy & Procedure Implementation
- Coordinate onboarding for new school-based hires in partnership with the Home Office Talent and HR teams.
- Ensure alignment and execution of school policies and procedures in collaboration with the front office and operations staff.
- Support the consistent implementation of operational best practices across the school.
Compliance & Data Accuracy
- Ensure teacher certification compliance in coordination with the Talent team.
- Submit accurate timesheets and staff attendance to Human Resources.
- Maintain and update student records in PowerSchool, including enrollments, withdrawals, retention, and graduation statuses.
- Lead Count Day procedures and ensure all reporting meets state, local, and internal compliance standards.
- Manage student and staff records (digital and physical), ensuring data security and accessibility.
Scheduling & Service Coordination
- Support the development and maintenance of the school’s master schedule.
- Partner with the Food Service team to coordinate meal service and with Facilities to maintain a safe, clean school environment.
Testing Support
- Coordinate logistics for benchmark assessments and standardized testing in partnership with the Testing Coordinator and Home Office.
Collaboration with Student Admissions
- Work closely with the Student Admissions department to support student enrollment, family engagement, and transition processes.
- Ensure school-level processes align with network-wide enrollment strategies and timelines.
Other Duties
- Perform additional responsibilities as assigned by the School Principal or network leadership.
