Project Coordinator

At Zetta Solution, we build and deliver proprietary software and digital solutions that help businesses work smarter and operate better. We are looking for a proactive, organized, and detail-oriented Project Coordinator to support the delivery of our software projects from planning to implementation.

This role is a great fit for someone who enjoys coordinating people, keeping things on track, solving problems, and being involved in projects that make a real impact on businesses. You will work closely with clients, developers, and internal teams, while gaining hands-on exposure to both the technical and business side of project delivery.

If you are someone who likes structure, communication, and seeing things come together, this could be a strong stepping stone towards a future career in Project Management.

What You’ll Be Doing

Keep Projects Moving

• Assist in planning, scheduling, and tracking project timelines, tasks, and deliverables
• Maintain proper project documentation, including meeting minutes, progress reports, and status updates
• Coordinate with internal teams and external parties to ensure projects move smoothly
• Track action items and follow-ups to make sure nothing falls through the cracks

Be the Link Between Clients and Teams

• Act as a key coordination point between clients and internal teams
• Provide project updates and help ensure communication stays clear throughout the project lifecycle
• Gather requirements, feedback, clarifications, and approvals from clients
• Prepare meeting materials, reports, presentations, and documentation for client discussions

Support Project Delivery

• Monitor project progress and flag potential risks, issues, or delays early
• Track milestones, deliverables, and deadlines to support timely completion
• Coordinate testing, user acceptance testing (UAT), deployment activities, and handover processes
• Work with relevant teams to support issue resolution and smooth implementation
• Support project needs outside regular working hours, including occasional weekend work, when required by project timelines or go-live activities

Understand Business Processes

• Support the study and mapping of clients’ business workflows to identify requirements, gaps, and opportunities for improvement
• Help ensure projects follow internal processes, standards, and company SOPs
• Assist in tracking project resources, including manpower, timelines, and tools used

Support Clients Along the Way

• Help handle client queries, issue logging, troubleshooting coordination, and follow-ups
• Ensure client concerns are responded to in a timely and professional manner
• Work with support, development, or management teams to escalate and resolve issues when needed
• Contribute to a positive client experience through clear and responsive communication

Work Closely as a Team

• Collaborate with project, development, IT support, and business teams to keep work aligned
• Prepare project summaries and updates for management review
• Contribute to a team environment where tasks, information, and communication are well coordinated

What We’re Looking For

• Diploma or Degree in Business, Information Technology, Project Management, or a related field
• Strong organizational skills and the ability to manage multiple tasks and priorities
• Good written and verbal communication skills
• Detail-oriented, responsible, and able to follow through on tasks
• Able to work independently while also collaborating well in a team
• Keen interest in technology, software projects, and client coordination
• Basic understanding of the Software Development Life Cycle (SDLC) will be an advantage
• Willing to support project needs outside regular working hours, including occasional weekends, depending on project requirements
