Job Description:
The Project Coordinator supports the Project Manager - Facility & Infrastructure (F&I) in the client-side oversight of assigned Facility & Infrastructure scope areas, ensuring EPCM, the WWTPBOOT partner, contractors and suppliers deliver to the agreed scope, schedule, quality, safety and compliance requirements.
The Project Coordinator focuses on EPCM performance oversight, engineering and construction delivery monitoring, interface management, authority coordination, project controls, reporting and stakeholder coordination rather than acting as the Work Package Owner.
The Project Coordinator acts as the day-to-day coordinator across the assigned packages, overseeing EPCM’s progress, supporting issue resolution, identifying risks, maintaining action trackers and coordinating stakeholders to ensure successful delivery from engineering through construction, commissioning and turnover.
Scope areas include, but not limited to:
- Central Utility Building (CUB)
- Waste Water Treatment Plant (WWTP/WWHP/WWB) – Build-Own-Operate-Transfer (BOOT)
- Spine Corridor
- External Piperack
Reporting Line:
The Project Coordinator reports to the Project Manager - Facility &Infrastructure (F&I).
General/Typical Accountabilities
Construction Delivery Support
- Support oversight of EPCM delivery, the WWTP BOOT partner and contractor execution activities across the assigned packages.
- Monitor alignment between engineering completion, procurement, construction need dates, commissioning and turnover requirements.
- Monitor construction progress against approved schedules and milestones.
- Monitor installation readiness and construction completion status.
- Identify execution risks, delays and constraints requiring escalation.
- Support recovery planning and follow-up of mitigation actions.
- Coordinate site activities and contractor interfaces.
Interface Management
- Coordinate interfaces between EPCM, the WWTP BOOT partner, contractors, Operations, stakeholders and adjacent work packages.
- Coordinate interfaces between the CUB, Spine Corridor, External Pipe Rack and the utility users within the buildings.
- Support management of tie-ins, utility connections and site integration activities.
- Track and resolve interface issues, clashes and coordination gaps.
- Facilitate communication between stakeholders to support integrated project delivery.
Authority & Regulatory Coordination
- Coordinate authority inspections and close-out activities.
- Track permit and approval readiness.
- Monitor readiness of statutory submissions and approvals.
- Follow up authority action items and closure requirements.
- Support resolution of authority and compliance-related issues.
Project Controls & Reporting
- Track EPCM’s performance against the agreed package schedule and site need dates.
- Monitor design deliverable status, procurement readiness, construction progress and recovery actions across the assigned packages.
- Highlight gaps in engineering or construction deliverythat may affect critical project milestones.
- Track milestone status and recovery actions.
- Prepare project dashboards and support packagereporting.
- Coordinate project meetings, issue minutes and trackactions.
- Follow up on open actions and escalate overdue items.
- Support maintenance of package schedules, issue registers and action trackers.
- Support preparation of weekly and monthly project reports.
Quality Assurance, Inspection & Witness Coordination
- Coordinate and witness FAT, SAT, ITP, commissioning test packs and performance testing activities.
- Maintain quality and inspection tracking logs.
- Coordinate quality assurance interfaces between EPCM, WWTP BOOT partners, contractors and Client stakeholders.
- Support verification of punch-list closure activities.
- Escalate systemic quality concerns, NCR trends and unresolved quality issues.
Stakeholder Coordination
- Collaborate with EPCM, WWTP BOOT partners, contractors, suppliers, consultants and internal stakeholders.
- Ensure coordination to maintain clear ownership and timely closure of package actions.
- Coordinate package reviews, workshops and technical discussions.
- Escalate issues impacting safety, quality, compliance, schedule or operational readiness.
- Support alignment across construction, commissioning and turnover activities.
Essential:
- Degree in Engineering, Construction Management, Project Management, or a related technical discipline.
- Experience coordinating construction, infrastructure, utilities or industrial projects.
- Experience supporting project delivery through construction, commissioning and turnover phases.
- Understanding of construction activities, contractor coordination and site execution processes.
- Experience coordinating interfaces between contractors, stakeholders, Operations and project teams.
- Strong project coordination, planning and follow-up skills, with the ability to track milestones, actions and recovery plans.
- Experience maintaining project trackers, dashboards, reports, meeting minutes and action registers.
- Experience supporting authority inspections, permit closure activities and regulatory coordination.
- Ability to interpret project schedules, engineering drawings, technical documents and construction deliverables.
- Strong communication and stakeholdermanagement skills with the ability to coordinate across multiple disciplinesand organisations.
- Ability to identify issues, drive follow-upactions and escalate risks affecting schedule, quality or project delivery.
- Familiarity with commissioning, startup,turnover and operational readiness activities.
- Working knowledge of project management systems including document control, action tracking and reporting tools.
- Ability to manage multiple priorities across concurrent packages and stakeholders.
Desirable
- Experience in pharmaceutical, life sciences, manufacturing, utilities or industrial facility projects.
- Experience working within EPCM project delivery environments.
- Experience supporting BOT/BOOT projects and managing interfaces between BOT/BOOT partners, contractors and Operations teams.
- Experience coordinating authority inspections, statutory submissions and regulatory approvals.
- Exposure to utilities, wastewater treatment plants, central utility buildings, process infrastructure or similar facilities.
