Position Summary
Funston Company is seeking a Project Coordinator to support our Project Managers across multiple concurrent civil site utility and grading projects. This role sits between construction administration and project management — handling day-to-day coordination and documentation so PMs can stay focused on schedule, budget, and field execution. Core responsibilities include utility locate (“one-call”) ticket tracking, WEX fuel card spend tracking, submittal preparation and tracking, and contract preparation support.
Key Responsibilities
• Submit, track, and renew NC811 utility locate (“one-call”) tickets across all active job sites; maintain a locate ticket log and confirm locate status with field crews before excavation.
• Track and reconcile WEX fuel card spending by vehicle, job, and employee; review monthly statements, flag unusual charges, and assist with cost coding.
• Prepare, format, and track submittal packages (product data, shop drawings, samples) for PM and engineer review; maintain a submittal log and follow up on outstanding approvals.
• Assist with project quantity tracking.
• Draft and populate subcontract agreements and purchase orders from vendor and subcontractor proposals using company templates; track execution status and route documents for signature.
• Maintain organized project files submittals, contracts, change orders, and RFIs across multiple active projects.
• Follow up with vendors and subcontractors on outstanding quotes, proposals, and paperwork (COIs, W-9s, licenses).
• Assist Project Managers with scheduling coordination, meeting notes, and other administrative support as needed.
Qualifications
• 1+ years of experience in a construction office, coordination, or administrative role; civil, utility, or site work background .
• Familiarity with NC811 / One-Call locate processes is a plus.
• Strong organizational skills, with the ability to manage documentation across multiple active projects at once.
• Proficient in Microsoft Excel and Outlook.
• Clear written and verbal communication.
• Detail-oriented, self-directed, and comfortable following up with vendors and subcontractors.
What This Role Is Not
• Not a field supervision or superintendent role.
• Not a Project Manager role this position supports PMs and does not carry budget, schedule, or contract authority of its own.
