What you’ll do?
As our Project Coordinator, you’ll bring structure and visibility to a growing portfolio of internal IT, Engineering, DevOps, proof of value and proof of concept initiatives. Working closely with engineers, project stakeholders and the National IT Manager, you’ll coordinate schedules, capacity, project documentation, change activities and reporting. This role will suit someone who enjoys working with technical teams, confidently manages competing priorities and persistently follows through to keep work moving.
- Coordinate planning and scheduling across internal IT, Engineering, DevOps, proof of value and proof of concept initiatives.
- Schedule work across engineers’ calendars, maintaining visibility of capacity, priorities and any approved trade-offs.
- Maintain project plans, trackers, change documentation and other project records.
- Attend project meetings, coordinate actions and help prevent duplicated work across concurrent initiatives.
- Track project progress and escalate risks, issues and competing priorities to the National IT Manager.
- Coordinate Change Advisory Board activities and maintain an accurate, visible change calendar.
- Build analytics and reporting on ticket types, project activity, capacity and team workload.
- Ensure time entries, project information and ticket data are completed accurately and on time.
- Support stakeholder communication, meeting coordination, minutes and persistent follow-up of actions.
- Improve project coordination processes and take greater ownership of initiatives as your experience develops.
What you’ll bring?
- Previous project coordination experience, including hands-on resource management.
- Experience managing tasks, deadlines and competing priorities in a structured environment.
- Experience working with engineers, IT specialists or another technical team.
- Experience using ticketing and scheduling systems.
- Strong analytical skills, with the ability to produce clear reporting from project and ticket data.
- Excellent organisation, administration and attention to detail.
- Strong interpersonal skills, patience and the confidence to challenge or clarify new requests.
- A proactive and persistent approach to following up actions and keeping stakeholders accountable.
- Experience with ConnectWise, including its ticketing, project management or dispatch functions, will be highly regarded.
- Experience with Microsoft Project, Smartsheet, monday.com, process documentation or project management training will be advantageous.
What else do you need to apply?
- Travel on-site to our office in Notting Hill and work in a hybrid capacity.
- Must be an Australian resident available to work full-time hours without restrictions.
