People & Workplace Operations Specialist

Frontify is the brand platform behind some of the world's leading organizations, including Microsoft, Telefónica, Bosch, Mercedes-Benz, and Kia. We help every team bring brands to life — with governance in one place, seamless workflows across the tools people already use, and a foundation that's ready for AI.

We're driven by collaboration, curiosity, and the belief that great work can happen anywhere. What began in St. Gallen has grown to London, New York, and beyond. Wherever you join us, you'll take ownership from day one, shape work that reaches global brands, and help redefine how brands work in the age of AI.

What you’ll shape

You’ll play a pivotal role in our employee experience as part of both our People Operations and People Experience teams. You’ll be the heartbeat and energy of our New York workplace, serving as our primary on-site anchor to ensure a vibrant, welcoming space for local staff and international visitors. You will champion Frontify culture, ensure a seamless onboarding for new hires, and host special events that make people genuinely proud to work here.

You’ll work alongside our HR manager to design and elevate existing policies, drive administrative efficiency, and spearhead dynamic ad-hoc projects. If you're a true people person who loves face-to-face interaction as much as sharp HR processes, this role is for you.

What you’ll do

People Operations & Compliance

• Collaborate in designing and executing streamlined HR workflows across the employee lifecycle.

• Stay up to date with local (NYC), state, and federal regulations that affect our employee base, working collaboratively with the HR manager to implement compliant policies.

• Drive administrative efficiency and support special cross-functional HR projects.

People Experience & Culture

• Plan and facilitate, develop a red-carpet onboarding and orientation process for new hires.

• Coordinate and execute special events that boost our workplace culture—from organization-wide meetings to creative team celebrations and employee recognition events.

• Bring Frontify’s global values to life locally, creating initiatives that build community and pride in our workplace.

Workplace Management

• Be the welcoming face of our NYC workplace, managing day-to-day office rhythm, maintaining an inspiring environment, and acting as the main host for our team and visiting international colleagues.

• Be the go-to person for facilities management & budget alignment for the workplace, which includes liaising with vendors and suppliers, arranging workspaces, handling catering and deliveries, and maintaining the office to ensure a comfortable and efficient working environment.

What you bring

• You love the vibe of an office and are excited to make our New York City workplace your main hub (4-5 days on site, Monday–Friday).

• You love being surrounded by people, thrive on daily face-to-face interaction, and naturally bring positive energy into a room.

• You have a minimum of 3+ years of experience in a similar position combining HR administration, People Experience, or Workplace Operations.

• You bring a solid understanding of (or curiosity about) local NYC, state, and federal labor regulations.

• You are proactive in your approach and have a keen eye for detail.

• You know how to organize yourself and can remain calm even if it’s stormy.

• You love working precisely and being solution oriented.

• You are excited to work within a global, international team environment.

• A bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.

What we offer

• Medical, dental, and vision coverage with fully company-paid plan options

• 401k with 5% matching

• A minimum of 25 days of PTO per year

• Paid educational and wellbeing days off

• Parental, bereavement, and sick leave

• Wellbeing, learning and development, and commuter allowance

• Home office setup budget

• Weekly free office lunch

• Workation: Work from inspiring locations around the world (45 days annually)
