Be the heartbeat of our workplace

Some people manage offices, others create environments where people thrive.

We're looking for an Office Manager who sees opportunities where others see routines. This is far more than a traditional Office Manager role. As the face of our Stockholm office, you'll play a key role in shaping both the first impression and the everyday experience of G+D. From welcoming customers and visitors at reception to driving workplace improvements, sustainability initiatives, business operations, and employee engagement, you'll have a visible impact across the entire organization.

If you thrive in a role with broad responsibility, significant autonomy, and the opportunity to influence how people experience their workplace every day, we'd love to hear from you.

About the role:

You will play a key role in ensuring a smooth, professional and engaging workplace experience. Acting as the central point of coordination for office operations, administration, employee services facilities and internal communication, you will help create an environment where people can do their best work every day.

In this role you will:

• Be the face of our office and create an exceptional workplace experience, taking ownership of our reception area and ensuring employees, customers, visitors and partners are always welcomed into a professional and engaging environment.
• Drive operational excellence across the business, overseeing office operations, facilities, suppliers, budgets, contracts, expense management, travel administration, and key administrative processes.
• Shape how employees experience G+D, driving onboarding, internal communication, events, work environment initiatives and continuous improvements that make our workplace more efficient, engaging, and future focused
• Take the lead in coordinating the local Health & Safety agenda, ensuring that annual work environment reviews are conducted, risks are identified and addressed, action plans are followed through, and our office remains a safe, healthy, and compliant workplace.

Required skills & experience

We're looking for a proactive and resourceful person who enjoys taking ownership and making things happen. You thrive in a dynamic environment where no two days are the same, and you have the ability to balance operational excellence with a strong service mindset. With a natural talent for building relationships and creating structure, you ensure that people, processes, and the workplace run smoothly.

You are equally comfortable welcoming customers, visitors and colleagues to our office as you are managing operational processes, supporting leadership, and driving continuous improvements across the workplace.

To succeed in this role, you bring:

• Several years of experience in Office Management, Workplace Management, Executive/Business Administration, Facilities Management, or a similar broad operational role.
• Experience coordinating multiple areas of responsibility, such as office operations, vendors, contracts, budgets, workplace services, internal communications, or employee engagement activities.
• Strong administrative and organizational skills with the ability to prioritize effectively and manage multiple tasks simultaneously.
• Experience coordinating Health & Safety activities, conducting workplace reviews, following up on action plans, and collaborating with managers and stakeholders to create a safe working environment.
• Experience working with suppliers and external stakeholders, including contract administration and service follow-up.
• Good financial understanding and experience working with budgets, invoice handling, expense management, and cost control.
• Strong knowledge of Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
• Excellent communication skills and the ability to build trust and collaborate with stakeholders at all levels of the organization.
• Fluency in Swedish and English, both written and spoken.
• Given the responsibilities for reception and office operations, this role requires a strong on-site presence, with the majority of working time spent in the office.

It would be great if you also have:

• Experience working in an international or matrix organization
• Experience with SAP or similar ERP systems

Why G+D?

At G+D, you’re not just joining a company, you’re joining a diverse, supportive, and purpose‑driven community. In this role you will have the opportunity to work with talented people in an international and innovative environment. G+D is a well-established family-owned company at the forefront of the market. Besides a dynamic and evolving industry, we offer you:

• A culture that values trust, innovation, and continuous learning
• Personal and professional development with a wide range of training and learning opportunities
• Competitive compensation and benefits
• Work-life balance with a hybrid work model with a requirement to be in the office at least two days per week
• The chance to make a real impact on secure digital ecosystems
