Position Overview
CGINTL is seeking an accomplished The Mission Support Specialist provides sector-level mission, data, administrative, and maintenance-and-repair (M&R) coordination support. You will help BPAM facility teams track work in Government systems of record, keep contract and funding files current, support meetings, and keep day-to-day operations moving for the Border Patrol and Air and Marine facilities in Tucson, AZ.
This position supports U.S. Customs and Border Protection (CBP) through the Program, Project and Mission Support Services (PPMSS) effort for the Border Patrol and Air & Marine (BPAM) Program Management Office (PMO). The BPAM PMO plans, builds, sustains, and operates the facilities that U.S. Border Patrol (USBP) and Air and Marine Operations (AMO) rely on to carry out their mission.
The successful candidate must be U.S. citizenship and favorably pass a background check.
Key Responsibilities
Facilitation and Meeting Preparation
- Serve as facilitator for meetings and ad-hoc projects: set agendas, manage to the agenda, track action items, distribute minutes, and keep stakeholders current on status and next steps.
- Support planning and execution of working sessions with stated objectives and actionable outcomes and deliver meeting minutes within two working days when assigned.
Sector Mission Support and Data Management
- Track and report data in Government systems of record (TRIRIGA or successor) for task management, work plans, activities, and projects in a timely and accurate manner.
- Report data quality to the Government no less than monthly and help develop a quality-control process.
- Assist the Facility and Infrastructure Manager, Facility Operations Manager, Project Manager, COR, and Facility Operations Specialist with contract-related tasks such as organizing contract files and coordinating with the Financial Management Branch on payments and available balances.
- Maintain purchase logs for Government purchase cards, track available funding, and complete inventory of received items for the facilities group.
- Research equipment and vendors; create reports and QA/QC documents; and maintain physical and electronic files.
- Support documentation and data requirements using SharePoint, SAP, and TRIRIGA: load completed routed documents, prepare documents for signature, and run system reports for management review.
- Cross-train new contractor Mission Support Specialists when requested.
Administrative Support
- Support the day-to-day administrative requirements of assigned PMO and site leadership, triaging requests and coordinating communications, tasks, travel, and meetings.
- Field calls, receive and direct visitors, file, book travel through the approved federal travel system, and track action items to closure.
- Assist with agendas, expense reports, memoranda, cursory QC of incoming taskers, and routing documents for review, approval, and signature.
- Assist with training-related documentation, scheduling, and travel, and support special projects such as research and analysis.
- Accuracy and consistency when entering and validating data in systems of record.
- Ability to work independently at a sector location while coordinating with regional and headquarters teams.
- Clear written communication for reports, minutes, and correspondence.
M&R Coordination and Reporting
- Prepare the monthly M&R Coordination Report covering existing project status, including cost, scope, modifications, percent complete, and logistics support status.
- Maintain data and contract information that supports standard and ad-hoc Government reporting.
- Track and prepare documentation for task-order execution in the assigned area of responsibility, and track funding executed with federal purchase cards.
Required Qualifications
- Bachelor's degree or equivalent. Additional relevant experience may offset education requirements on a case-by-case basis with Government client and COR approval.
- Office management and data-analytics experience desired.
- Proficiency with Microsoft Word, Excel, and PowerPoint
Preferred Qualifications
- Experience supporting federal facility or program offices.
- Experience with SharePoint, SAP, and TRIRIGA or similar systems.
- Experience with purchase-card logs, inventory of received items, document routing, and report generation.
- Strong organization, data-quality, and customer-service skills
