Overview
We are seeking a highly organized and proactive Marketing Project Manager to oversee the vendor relationships, contracts, and operational systems that keep marketing initiatives running smoothly. In this role, you will serve as the central point of coordination between marketing teams, creative agencies, external vendors, and legal stakeholders. You will manage contractor onboarding, influencer partnerships, asset organization, and contract workflows while ensuring that projects remain compliant and on schedule. By identifying operational bottlenecks and improving project management processes, you will help teams work more efficiently and focus on delivering impactful marketing campaigns. You will also explore AI-powered tools to automate repetitive administrative tasks and modernize everyday workflows. Accountabilities
- Manage vendor relationships and onboarding: Serve as the primary point of contact for vendor information requests, due diligence questionnaires, onboarding documentation, and contract coordination, ensuring external partners are onboarded efficiently and comply with internal requirements.
- Coordinate contracts and legal workflows: Partner with marketing managers, project management teams, and Legal to manage contract timelines, organize documentation, track approvals, and ensure agreements progress smoothly through established processes.
- Oversee contractor and freelancer logistics: Source, onboard, schedule, and coordinate contractors and freelancers to support creative production and marketing initiatives, ensuring resources are available when needed.
- Coordinate agency and creator partnerships: Manage the operational details of agency, talent, and influencer relationships, including scheduling, deliverables, fulfillment, and coordination with user acquisition teams.
- Maintain marketing assets and repositories: Organize and manage marketing materials within digital asset management (DAM) systems, maintain accurate records, and retrieve assets for specified date ranges and business needs.
- Manage audit requests and documentation: Coordinate audit request fulfillment by working with Legal and marketing stakeholders to locate, compile, organize, and deliver relevant documentation accurately and on time.
- Optimize project management systems: Maintain and improve project management tools and workflows, including platforms such as Jira and Confluence, to increase visibility, accountability, and operational efficiency.
- Implement AI-assisted workflows: Partner with Marketing Operations to identify opportunities to automate repetitive tasks involving vendor management, invoices, contracts, and asset organization using AI-powered tools.
- Monitor operational performance: Use data such as vendor spend, turnaround times, project milestones, and delivery dates to identify inefficiencies, prioritize improvements, and measure the impact of operational changes.
- Coordinate cross-functional execution: Build strong working relationships across Marketing, Creative, Legal, Project Management, and external partners to ensure projects move forward efficiently and stakeholders remain informed.
- Drive continuous improvement: Identify workflow friction, propose practical solutions, and implement scalable processes that reduce administrative burdens and enable marketing teams to focus on strategic priorities.
Requirements
- Relevant project management experience: Three to five years of experience in project management, marketing operations, or a related coordination-focused role.
- Marketing or creative production experience: Three to five years of experience working in-house or at an agency, directly within or closely alongside creative production teams.
- Project management systems proficiency: Hands-on experience using project management and collaboration platforms such as Jira, Confluence, or comparable tools.
- Strong organizational skills: Exceptional attention to detail and the ability to maintain accurate records, coordinate documentation, manage deadlines, and oversee multiple workflows simultaneously.
- Prioritization and time management: Proven ability to balance competing priorities, manage several projects at once, and remain effective under pressure in a fast-paced, frequently changing environment.
- Vendor and contract coordination: The ability to manage external relationships, coordinate administrative requirements, track approvals, and ensure stakeholders meet their commitments.
- Excellent communication skills: Strong written and verbal communication skills, with the ability to communicate clearly and professionally with internal teams, external partners, agencies, and legal stakeholders.
- Proactive problem-solving: A resourceful mindset, strong initiative, and the ability to anticipate challenges, identify operational bottlenecks, and implement practical solutions independently.
- Adaptability and flexibility: Comfort working in an evolving environment where priorities shift quickly and processes may need to be refined as business needs change.

- Experience managing agency or vendor contracts, invoices, and payment coordination.
