At Klaviyo, we’re Built Different: a company of builders who take ownership, operate with candor, and believe we’re 1% done. That mindset extends to how we think about our workplaces. They’re not spaces to manage; they’re experiences to design.
We’re seeking a Manager, Workplace Experience to lead Workplace Experience operations across Klaviyo’s international office portfolio, including Dublin, London, Paris, Munich, Sydney, and Singapore, while scaling future EMEA growth.
Based in Dublin, this role will oversee a distributed Workplace Experience team supporting office operations, employee experience, real estate, workplace programs, and regional expansion across multiple countries and time zones. This leader will partner closely with the Head of Communications, Workplace & Experiences, the US Workplace Experience Manager, and Real Estate leadership to shape Klaviyo’s global workplace strategy, including lease management, portfolio planning, and new office build-outs.
The ideal candidate is an experienced people leader who combines operational excellence with a genuine passion for creating environments where people thrive. You think in systems, lead with empathy, and hold a high bar for your team, vendors, and workplace experience. You’re energized by building scalable programs, navigating ambiguity, and creating workplaces that help teams do their best work.
How You’ll Make a Difference
- Lead, hire, coach, and develop the international Workplace Experience team supporting Klaviyo offices across EMEA.
- Own Workplace Experience operations across Klaviyo’s international office portfolio, balancing consistency, scalability, and local market needs across multiple countries, vendors, and regulatory environments.
- Partner on the evolution of Klaviyo’s global workplace experience strategy while driving operational excellence across the international office portfolio.
- Act as the on-the-ground Workplace Experience and Real Estate partner for the continued evolution of Klaviyo’s EMEA region, supporting lease management, buildout execution, employee readiness, workplace operations, and change management efforts in partnership with Real Estate and cross-functional teams.
- Lead regional real estate initiatives, including evaluating new office locations, supporting site selection and deal processes, managing leases and landlord relationships, and helping launch new workplaces that reflect Klaviyo’s culture and standards.
- Serve as a strategic partner to Workplace Experience leadership and cross-functional stakeholders, using employee feedback, utilization data, and operational insights to shape workplace investment, office design, and programming decisions.
- Build a culture of continuous improvement by identifying operational gaps, diagnosing root causes, and implementing scalable solutions across offices and workflows.
- Partner closely with Employee Experience and Internal Communications teams to support thoughtful, high-quality in-office programming, cultural initiatives, and employee events across regions.
- Lead vendor management across the international portfolio, including sourcing, contract negotiation, performance management, and strategic vendor partnerships.
- Partner on workplace planning and space utilization strategy using tools like OfficeSpace, leveraging data and employee feedback to inform workplace decisions and future growth planning.
- Drive workplace technology improvements in partnership with Global IT, evaluating tools and systems that improve the employee experience across conference rooms, desk booking, digital signage, visitor management, and office operations.
- Help evolve workplace policies, procedures, and safety standards to ensure consistency, scalability, and local compliance across EMEA offices.
- Partner with New Hire Success and local office teams to deliver a thoughtful and consistent onboarding experience for employees joining across international offices.
- Establish operational standards and accountability mechanisms that ensure every Klaviyo office reflects the quality of our brand and employee experience expectations.
- Oversee workplace operations across office services, supplies, food & beverage, and employee amenities with a focus on quality, efficiency, and scalability.
- Lead complex, cross-functional workplace and real estate projects including office launches, build-outs, moves, reconfigurations, lease-related projects, and operational improvement initiatives across multiple regions and time zones.
- Create a thoughtful, high-quality visitor and employee experience that reflects Klaviyo’s culture across every office location.
- Help shape the future of the Workplace Experience function as the company continues to scale internationally.
