About the role:

We are looking for a well-organised and detail-oriented person to join our Culture & Talent team in a junior operational role.

At Sybilla, Culture & Talent goes beyond traditional HR administration. We support employee-related processes, recruitment and onboarding, build effective ways of working, maintain high operational standards and strengthen a culture of execution across the organisation.

In this role, you will support recruitment, onboarding and day-to-day Culture & Talent operations, using tools such as PeopleForce and ClickUp. You will maintain accurate data and documentation, prepare recruitment materials, coordinate meetings and interviews, monitor deadlines and follow-ups, and ensure processes are completed according to agreed standards.

Over time, you will gradually take ownership of selected operational processes and less complex recruitment activities (operational specialist development path, not a coordination or management role).

You do not need extensive HR experience. We are looking for someone who is proactive, reliable, organised, comfortable working with systems and administrative tasks, and interested in developing in Culture & Talent operations and recruitment.

Your Responibilities:

• Support the daily organisation of Culture & Talent activities, including tasks, deadlines, meetings and internal follow-ups in ClickUp.

• Maintain accurate PeopleForce, ClickUp and process documentation, including templates, trackers, checklists and other team materials.

• Support recruiters with interview coordination, candidate and hiring manager communication, job postings and recruitment administration.

• Monitor recruitment processes, deadlines, feedback and next steps, following up on missing or incomplete actions.

• Prepare and format candidate summaries, recruitment materials and process documentation based on information provided by recruiters or available in recruitment systems.

• Support the preparation and coordination of onboarding plans and schedules, monitor completion of onboarding tasks and ensure required information, documents and meetings are ready before an employee's start date.

• Support communication with new employees regarding organisational matters and ensure relevant employee information is complete and accurately maintained in PeopleForce and other tools.

• Support the implementation and testing of agreed templates, system settings and processes, providing practical feedback from the user's perspective.

• Identify recurring operational issues, suggest simple improvements, perform regular quality checks and gradually take ownership of selected junior or less complex recruitment and operational processes.

Requirements:

• Up to 1-2 years of experience in HR, recruitment, administration, operations or a similar support role. Relevant internships may also be considered.

• Strong organisational skills and the ability to manage multiple tasks, deadlines and follow-ups.

• High attention to detail and accuracy when working with employee, candidate and process data.

• Previous experience using task or project management tools, such as ClickUp, Asana, Trello or Jira.

• Confidence in learning and using digital tools, including HRIS, ATS and other operational systems.

• Clear and professional written and verbal communication skills.

• Proactive and independent approach to assigned tasks, including identifying missing information, delays or incomplete actions and knowing when to ask for support.

• Good command of English and Polish, both written and spoken.

Nice to Have:

• Basic understanding of recruitment and onboarding processes.

• Experience coordinating meetings, interviews or internal activities.

• Basic skills in preparing reports and working with operational data.

• Knowledge of German language.

• Interest in developing a career in HR operations, recruitment or people analytics.

Terms of employment:

• Remote employment model (HQ is in Bydgoszcz/Zielonka).

• Salary: PLN 7,000 - 7,500 PLN gross on employment contract, depending on skills and experience.

• Full-time job & flexible work time.

• Medical package (LuxMed) and sports package (Multisport)

• The candidate will receive structured onboarding support, including guidance from team members during the initial weeks of employment.

• Working in a fast-growing company in a prestigious Space industry.
