The HR & Admin Assistant provides administrative and operational support across Human Resources and Administration, including recruitment, onboarding, employee records, payroll preparation, visa and work permit coordination, office administration, employee engagement, and compliance with ADGM regulations and company policies.
Responsibilities
- Ensure compliance with ADGM employment regulations and internal policies
- Protect the confidentiality of employee information and company records
- Support end-to-end recruitment, including interview scheduling and candidate coordination
- Assist with employee onboarding and offboarding
- Prepare employment contracts, HR letters, and employee documentation
- Maintain accurate employee records and personnel files
- Coordinate employment visa and ADGM work permit applications
- Support medical insurance enrollment and renewals
- Assist with monthly payroll preparation
- Monitor employee attendance, leave records, and HR documentation
- Support employee engagement initiatives, team events, and HR projects
- Welcome visitors and manage reception duties
- Coordinate meetings, courier services, and office correspondence
- Maintain office supplies and inventory
- Support office administration and facility coordination
- Arrange office access cards and visitor access requests
- Coordinate office purchases and liaise with vendors and service providers
- Assist with company renewals and office documentation
- Maintain organized electronic and physical filing systems
- Work with Finance, Compliance, IT, Legal, and other departments
Requirements
- Bachelor's degree in Human Resources, Business Administration, or a related field, or a recognized HR certification with relevant professional experience
- 1–2 years of experience in Human Resources, Administration, or a similar role
- Knowledge of UAE Labour Law and ADGM Employment Regulations is an advantage
- Experience in recruitment, onboarding, employee records management, and HR administration
- Knowledge of UAE employment visa and work permit processes is preferred
- Excellent verbal and written communication skills in English; Arabic is an advantage
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Experience using HRIS or HR management systems is an advantage
- Strong organizational and time management skills with excellent attention to detail
- Ability to handle confidential information with professionalism and integrity
- Ability to work independently and collaboratively
- Strong multitasking and problem-solving skills
- Excellent interpersonal skills and ability to build positive working relationships
