Facilities Coordinator - London in London

Job Description

Facilities Coordinator – Multi-site Law Firm
Location: Ilford, London – working across four offices
Contract: Full-time, Permanent
Hours: Monday to Friday, 9:00am–5:30pm
Working Pattern: Office based
Salary: Competitive, dependent on experience

Additional Requirement: Occasional out-of-hours callouts, including evenings and weekends

Are you a practical, hands-on Facilities Coordinator who enjoys solving problems and making sure everything runs smoothly?

A well-established London law firm is looking for a dependable and proactive Facilities Coordinator to take responsibility for the day-to-day upkeep and operation of its four London offices.

This is very much a hands-on facilities role. You’ll be visible across the offices, dealing with everyday premises issues, carrying out straightforward maintenance tasks where appropriate and coordinating specialist contractors when required.

You don’t need extensive formal facilities management qualifications. Practical experience, reliability, common sense and a willingness to roll your sleeves up are far more important.

The Role

Working across four London locations, you will take ownership of a varied range of facilities and premises responsibilities, including:

• Managing planned and reactive maintenance
• Carrying out regular office and premises checks
• Dealing with minor repairs and basic maintenance tasks
• Arranging, liaising with and overseeing external contractors
• Supporting office moves, furniture requirements and workspace changes
• Managing office access and security arrangements
• Assisting with health and safety requirements
• Managing storage and archiving arrangements
• Maintaining accurate facilities records
• Responding to unexpected premises and maintenance issues
• Helping ensure all offices remain safe, functional and well maintained
• Considering cost and value for money when engaging suppliers and contractors

About You

We’re particularly interested in hearing from candidates with experience in facilities, premises management, building maintenance, caretaking, property support or a similar practical role.

You will ideally bring:

• Practical facilities or maintenance experience
• Basic DIY and general maintenance skills
• A proactive, hands-on and solutions-focused approach
• Strong organisation and prioritisation skills
• Confidence dealing with contractors, suppliers and service providers
• The ability to manage several priorities at once
• Good communication and relationship-building skills
• The confidence to work independently and take ownership of problems through to resolution
• Strong attention to detail and record keeping
• A reliable and responsive approach
• Willingness to travel regularly between four London offices
• Flexibility to respond to occasional out-of-hours callouts
Previous experience within a law firm or professional services environment would be advantageous but is not essential.

Why Apply?

This is an excellent opportunity for someone who enjoys a genuinely varied and practical facilities role where they can take ownership and see the impact of their work.

You’ll play an important part in keeping four busy London offices running safely and efficiently, with plenty of variety and the autonomy to deal with issues as they arise.
