Executive Assistant

We're looking for an Executive Assistant who is the calm at the centre of a very busy, very ambitious storm.

Founders Law is a commercial-first law firm with offices in the UK and UAE. We work with the founders building fintech, AI, digital asset and gaming companies across the GCC and beyond, from MVP to Series A, from regulation to unicorn.

We've supported over 700 scaleups in more than 30 countries. Our UAE office is growing fast, and our General Manager and Senior Team move between clients, ecosystems, government departments, and the occasional rodeo.

This role is not diary management plus admin. It's the engine room of the UAE office, and the person who keeps everything moving.

Run the GM's world (and support our senior leadership team split between UAE & UK)

• Own the GM's diary: scheduling, prioritising and protecting time across UAE and UK time zones
• Triage the inbox, draft correspondence and act as first point of contact, and friendly gatekeeper
• Prepare for meetings with client research and briefing notes, then chase the actions to completion
• Plan travel end to end: flights, hotels, visas, itineraries and ground transport, with a Plan B ready
• Book restaurants and venues for client, ecosystem and government meetings, knowing which spot suits which guest
• Coordinate deliveries and couriers, including client gifting such as with our very own Founders Law hot sauce
• Help run Founders Lounge, our experiential events series: guest lists, invitations, suppliers and on-the-day logistics
• Give the senior leadership team comparable support, with priorities agreed with the GM

Keep clients onboarded and documents in order

• Manage incoming WhatsApp for Business: respond promptly, route queries to the right person and keep a clear record
• Request, chase and check client onboarding documentation so matters open cleanly and on time
• Manage annual client renewals, and support the UK team with theirs
• File documents delivered to clients in our client folder structure: right place, right name, right version
• Proofread documents and correspondence before they go out
• Handle confidential client and firm information with complete discretion

Keep finance, renewals and actions moving

• Prepare draft invoices for sign-off, issue them and track payment with our HQ finance team
• Collect, reconcile and submit expenses each month
• Coordinate summaries to our consultants, tracking what's been sent and what's due back
• Keep a renewals tracker for the firm and the team: free zone licence, visas, health insurance and speaking opportunities
• Liaise with free zone authorities, government service centres and suppliers
• Coordinate task lists with HQ team members, so everyone knows who's doing what, and by when

What we're looking for

• At least 2 years as an EA, PA, legal secretary or office coordinator, ideally in a law firm, professional services or a fast-growing business
• Based in the UAE, with working knowledge of UAE admin: free zones, visas, health insurance and local suppliers
• Exceptionally organised, juggling multiple deadlines without dropping the ball
• Sharp attention to detail, the kind that notices the wrong date on page 12
• Excellent written and spoken English, confident on email, phone and WhatsApp
• Complete discretion with confidential information
• Confident with Microsoft 365, WhatsApp for Business, Asana and ideally, Claude
• Proactive, resourceful and calm under pressure, anticipating needs rather than waiting to be asked
• Low ego, high standards and a strong sense of team

Nice to have: Arabic, experience with client onboarding (KYC) or legal document management, knowledge of the UAE startup and tech ecosystem, a UAE driving licence. No need to know how to pilot the flying taxis.

About us

We're entrepreneurial to our core, ferocious champions of our clients' interests, and people you'd want alongside you in a zombie apocalypse. You'll sit at the centre of a firm that works with some of the most ambitious founders in the region, alongside a team that builds its own AI tools and would rather automate the repeatable than do it twice.

No job too small. All opinions considered. If you spot the problem before it lands, this is your seat.

Salary - When you research EA salary it goes from anywhere from AED2k upto to AED15k per month. We're looking for the best hire possilble, this role is an enabler so let us know what you think
