Department & Systems Support Associate PPP NA, Gx Berlin, Ohio
Overall Information

Main tasks
· Provide administrative, operational, and systems support across PPP NA departments.
· Support employees and department leaders with routine transactions, data entry, documentation, reporting, and system-related activities.
· Maintain accurate and timely information in applicable ERP, manufacturing, maintenance, quality, HR, and other business systems.
· Prepare and maintain reports, spreadsheets, trackers, forms, and other departmental documentation.
· Coordinate routine administrative activities, follow-up actions, training records, and cross-functional requests.
· Identify data inconsistencies, missing information, or process issues and coordinate appropriate follow-up with the responsible department.
· Support continuous improvement initiatives related to administrative processes, data accuracy, systems utilization, and information flow.
Area of responsibility
· Department & Systems Support within PPP NA (Gx Berlin, Ohio)
Department & Administrative Support:
· Provide day-to-day administrative support to Operations, Maintenance, Quality, Supply Chain, Finance, HR, and other PPP NA functions as required.
· Maintain organized electronic and physical records, forms, logs, trackers, and departmental documentation.
· Support managers and supervisors with routine administrative activities, reports, presentations, and follow-up actions.
· Coordinate meetings, training activities, departmental communications, and other site activities as assigned.
· Support preparation for internal and external audits, inspections, management meetings, and other business activities.
· Track open actions, deadlines, requests, and other follow-up items to support timely completion.
Systems & Data Support:
· Provide first-level support for routine use of PPP NA business and manufacturing systems, including data entry, transactions, updates, corrections, master data maintenance, and basic troubleshooting within authorized responsibilities.
· Maintain accurate and complete information across ERP, manufacturing, maintenance, quality, HR, inventory, and other systems; review and communicate discrepancies, escalate specialized issues, and support system implementations, updates, digital tools, standardized processes, and user documentation.
Reporting & Analysis:
· Prepare routine reports, spreadsheets, trackers, and dashboards using operational data from applicable systems and departments.
· Support monitoring of key site metrics, identify data discrepancies or trends, and assist with management reporting and improving data accuracy and availability.
Cross-Functional Support:
· Support Production, Operations, Maintenance, Supply Chain, and Quality with documentation, data collection, reporting, records, and routine administrative activities.
· Support HR, Finance, and other site functions with documentation, training coordination, data entry, and cross-functional projects or special assignments.
Training, Compliance & Documentation:
· Maintain accurate training records, forms, checklists, work instructions, and other documentation; support training scheduling, onboarding, and preparation of departmental materials.
· Ensure activities comply with Company policies, quality and data integrity requirements, GMP, OSHA, PPE, and site safety standards; protect confidential information and support audits and inspections as required.
Continuous Improvement:
· Identify and support improvements to administrative processes, data accuracy, systems utilization, and information flow.
· Support standardization and automation of forms, trackers, and routine processes through cross-functional improvement initiatives.
Qualifications
· High school diploma or equivalent required; 1–3 years of experience in administrative support, manufacturing, operations, systems support, data entry, or related field preferred.
· Basic–intermediate Microsoft Office skills, particularly Excel, Word, and Outlook, with ability and willingness to learn ERP, manufacturing, maintenance, quality, HR, and other business systems.
· Strong organization, attention to detail, communication, problem-solving, and ability to manage multiple priorities independently while supporting multiple departments.
· Ability to maintain confidentiality, identify and escalate issues appropriately, and follow applicable safety requirements in an industrial manufacturing environment.
· English proficiency and basic math skills; ability to lift up to 56 lbs. (or 80 lbs. team lift) and move up to 200 lbs.; forklift certification or ability to obtain.
