Do you enjoy talking with people, staying organized, and helping others take the next step toward an opportunity?

We're expanding our recruiting operations and looking for a motivated, dependable, and energetic Remote Phone Booker / Appointment Scheduler to help connect interested applicants with our hiring team.

This is not random cold calling.

You'll primarily contact warm candidates who have already applied, responded to a recruiting advertisement, or expressed interest in learning more about our career opportunities.

Your role is simple but important:

Connect → Confirm Interest → Schedule → Remind → Follow Up → Help Candidates Show Up

You'll help create a positive first impression while keeping our interview calendar and recruiting pipeline moving.

No previous recruiting or appointment-setting experience is required. Training is provided.

✓ 100% Remote / Work From Home
✓ Entry Level Welcome
✓ Warm Applicant Outreach
✓ No Random Cold Calling
✓ Training & Call Guidance Provided
✓ Flexible Scheduling Opportunities
✓ Recruiting & Candidate Support Experience
✓ Performance-Focused Environment
✓ Career Growth Opportunities

✨ What You'll Do

As a Remote Phone Booker / Appointment Scheduler, you'll be one of the first personal connections applicants have with our recruiting team.

Your goal is to provide a friendly, professional, efficient, and organized candidate experience while helping qualified applicants move through the interview process.

📲 Candidate Outreach & Appointment Setting

Your daily responsibilities may include:

• Make outbound calls to candidates who have already applied or expressed interest

• Introduce yourself professionally and create a positive first impression

• Confirm the candidate's continued interest

• Provide basic information regarding the next step in the hiring process

• Schedule candidates for available career overviews and interviews

• Help applicants select available appointment times

• Send or confirm applicable scheduling information

• Verify upcoming appointments

• Follow up with candidates before scheduled interviews

• Contact applicants who missed previous appointments

• Help interested candidates reschedule

• Answer basic questions regarding scheduling and interview logistics

• Direct detailed position-specific questions to the appropriate recruiter or hiring manager

Your goal is to turn applicant interest into completed appointments.

📅 Keep the Recruiting Calendar Moving

Appointment setting isn't simply putting someone's name on a calendar.

Strong Phone Bookers help ensure candidates understand:

• What they scheduled

• When their appointment begins

• How to attend

• What they should expect

• What their next step is

You'll help maintain an organized appointment pipeline by:

• Monitoring upcoming appointments

• Confirming scheduled candidates

• Following up when appropriate

• Rescheduling missed appointments

• Identifying candidates who still need to schedule

• Keeping candidate statuses current

• Communicating important scheduling information to the recruiting team

Organization and consistent follow-up are a major part of success in this position.

🔥 Warm Candidate Leads – No Random Cold Calling

One of the biggest differences between this role and traditional telemarketing is who you're contacting.

You'll primarily speak with people who have already taken an action indicating interest, such as:

• Submitting a job application

• Responding to a recruiting advertisement

• Requesting information

• Beginning the interview process

• Scheduling previously but needing to reschedule

• Completing an earlier recruiting step

That gives your conversation a purpose from the beginning.

You're following up with interested applicants—not searching the internet for random people to call.

🎯 Your Mission: Get Candidates to the Next Step

A successful call doesn't need to be complicated.

Your focus is to:

Connect with the applicant
↓
Confirm they're still interested
↓
Explain the next scheduling step
↓
Book the appointment
↓
Confirm the details
↓
Follow up when needed
↓
Help improve appointment attendance

If you're someone who enjoys having a clear objective and measurable results, this may be an excellent fit.

🗂️ Candidate Follow-Up & Recruiting Support

You'll also help maintain accurate candidate information and organized follow-up.

Responsibilities may include:

• Record call outcomes

• Enter conversation notes

• Update candidate statuses

• Maintain appointment records

• Track scheduled appointments

• Track confirmed appointments

• Track missed appointments

• Track rescheduled candidates

• Maintain follow-up lists

• Update candidate contact information when appropriate

• Communicate through phone, email, and text when applicable

• Assist with reminder communications

• Coordinate with recruiters and hiring managers

• Escalate candidate questions when necessary

• Help keep the recruiting pipeline organized

Attention to detail matters.

A great phone conversation isn't enough if the appointment, notes, or candidate status isn't documented correctly.

☎️ Comfortable With High-Volume Calling? Even Better.

This position is ideal for someone who enjoys frequent phone communication.

Depending on recruiting volume, you'll need to be comfortable:

• Making multiple outbound calls throughout your work period

• Moving efficiently from one conversation to the next

• Leaving professional voicemails

• Following up consistently

• Speaking with many different personalities

• Handling unanswered calls without becoming discouraged

• Staying positive when candidates decline

• Maintaining energy throughout repetitive outreach

• Working toward daily activity and appointment goals

Consistency is more important than having the “perfect” phone call.

🗣️ You Don't Need to Sound Like a Salesperson

We're looking for someone who sounds:

• Friendly

• Confident

• Natural

• Professional

• Helpful

• Clear

• Positive

• Organized

The best conversations often feel simple:

“Hi, I'm following up regarding the application you recently submitted. I wanted to see if you're still interested and help you schedule the next step.”

From there, your job is to listen, answer basic scheduling questions, and help the candidate move forward.

💻 100% Remote / Work From Home

This position is performed remotely.

You'll communicate with candidates and collaborate with the recruiting team using online systems and virtual technology.

Systems may include:

• Online scheduling platforms

• Calendly

• Zoom

• Applicant tracking systems

• Recruiting platforms

• Candidate-management tools

• Digital communication systems

Training is provided on our processes and applicable systems.

You'll need to be comfortable learning technology, switching between systems, and maintaining accurate records while working independently.

🏡 What You Need to Work From Home

Applicants should have:

• Reliable high-speed internet

• Working microphone or professional headset

• Reliable phone capability

• Quiet environment for candidate calls

• Professional communication skills

• Ability to access online scheduling and recruiting systems

⏰ Flexible Scheduling + Consistency

Working remotely can provide flexibility, but appointment setting depends heavily on availability and consistent follow-up.

You'll need to organize your work time around periods when applicants can reasonably be reached.

Successful Phone Bookers are able to balance:

Flexibility + Structure + Follow-Up + Accountability

This role may be a strong fit if you enjoy working independently but still prefer:

• Clear expectations

• Daily objectives

• Measurable results

• Organized follow-up

• A team to support

Depending on team needs, performance may be evaluated through metrics such as:

• Outbound call activity

• Appointments scheduled

• Appointment confirmations

• Reschedules

• Appointment attendance

• Accuracy of candidate records

• Consistency and reliability

Your activity directly impacts how many interested candidates successfully connect with the hiring team.

• Organized and detail-oriented

• Comfortable making frequent outbound calls

• Persistent without being pushy

No previous recruiting experience is required.

Strong communication, reliability, organization, professionalism, and work ethic can be more important than having a specific previous job title.

• Returning to the workforce

• Transitioning from retail or hospitality

• Moving from an office environment to remote work

• Looking to develop recruiting experience

A potential development path may include:

Phone Booker → Candidate Coordinator → Recruiting Support → Recruiter → Recruiting Team Leadership

• Recruiting systems

• Candidate communication

• Applicant screening support

• Recruiting operations

• Team training

• New-booker mentorship

• Recruiting analytics

• Leadership

Growth opportunities depend on performance, reliability, consistency, professional development, business needs, and available positions.
