About the Role
The Creative Systems Analyst manages the Adobe Workfront platform and operational processes that enable the successful planning, execution, and delivery of branded marketing materials. As a member of the in-house creative agency, this role partners with business leaders, technology teams, and vendors to optimize systems, workflows, resource planning, and user adoption. The Administrator combines expertise in creative operations, business processes, and technology solutions to drive efficiency, governance, and continuous improvement across the creative technology ecosystem.
The role serves as a strategic partner for agency operations and resource planning, leveraging Adobe Workfront resource management capabilities to align work with business priorities and available capacity. In partnership with business leaders, the Administrator anticipates future resource needs based on business plans, supports resource forecasting during project intake and assesses the agency's capacity to absorb new work. The role develops reporting, dashboards, and performance metrics that provide visibility into resource utilization, demand, capacity, and operational effectiveness. Using these insights, identifies trends, forecasts needs, and recommends adjustments to resource allocation, priorities, timelines, and workflows to optimize capacity and support organizational goals.
As the primary point of contact for system users, the Administrator ensures enterprise creative systems operate accurately, efficiently, and in alignment with business requirements. The role manages user security, access controls, and system configurations in accordance with company governance, compliance, and security standards. This role identifies root causes, and drives resolution of complex issues while managing vendor relationships to ensure timely support and issue resolution. Based on business and user needs, recommends and implements system enhancements that improve usability, efficiency, and operational effectiveness. Insights from system oversight establish best practices, governance standards, and operating procedures.
The role leads discovery and requirements-gathering sessions, translates business needs into documented requirements, and communicates system capabilities, risks, and dependencies. For upgrades, deployments, and integrations, defines testing strategies, develops test scripts and use cases, coordinates user acceptance testing, and validates solution meets requirements.
Leads system adoption by evaluating new functionality, demonstrating value, creating training materials, delivering functional training, and communicating system changes. The role develops and maintains the annual system roadmap, prioritizing initiatives to ensure delivery within approved scope, schedule, and budget.
Maintains a future-focused approach, by researching emerging technologies and recommends solutions that improve efficiency, streamline operations, and strengthen creative technology capabilities. Serves as a subject matter expert for the technology solutions.
Responsibilities\:
- Acts as a strategic business and resource planning partner for the in-house agency, ensuring work is planned in alignment with business priorities and operational capacity. Partners with business leaders to anticipate future resource needs based on business plans, enabling proactive capacity planning ahead of project intake. Utilizes Adobe Workfront Resource Management tools to lead resource forecasting and capacity planning during project intake and planning phases, assessing the department's ability to absorb and execute new work within existing constraints. Develops and maintains reporting, dashboards, performance metrics, and analysis that provide visibility into resource utilization, workload demand, capacity, and operational performance. Partners with business and management stakeholders to define reporting requirements, analyze trends, forecast resource needs, and communicate insights that support planning and business decision-making. Based on insights and analysis, develops and implements resource planning strategies to align resource allocation with organizational goals. Recommends adjustments to resource allocation, priorities, timelines, and ways of working to optimize capacity and support organizational goals.
- Serves as the subject matter expert and primary point of contact for the global Creative Workflow System (CWS), with deep knowledge of Workfront. Administers user security, access controls, system configurations, and governance processes in accordance with company compliance and security standards. Establishes and evolves system configurations, workflow standards, best practices, and operating procedures that support creative operations across teams. Collaborates with project owners, team leads, and business stakeholders to design, implement, and optimize workflows, templates, configurations, and automation solutions. Evaluates business and user needs and recommends or implements system enhancements that improve usability, efficiency, and operational effectiveness. Analyzes workflow and system performance data to identify bottlenecks, risks, and opportunities for improvement, leveraging insights to refine best practices, governance standards, and operating procedures. Investigates system issues, performs root cause analysis, and drives resolution of complex problems through collaboration with internal stakeholders and external vendors. Manages vendor relationships and support activities to ensure timely issue resolution, service delivery, and ongoing system performance. Maintains system processes, procedures, and knowledge resources to support compliance, data security, and consistent system usage. Provides guidance on system capabilities and limitations to support informed decision-making and manage expectations. Partners with the Creative Technology team to develop and maintain the system roadmap, prioritizing enhancements and initiatives aligned with business objectives.
- Leads discovery sessions with business stakeholders to identify needs, define business requirements, and evaluate opportunities for system enhancements and process improvements. Provides guidance on system capabilities, limitations, risks, dependencies, and recommended solutions to support informed decision-making and manage expectations. Leads the implementation and documentation of system configuration changes that support business initiatives and evolving operational requirements. Evaluates new features and functionality, assesses business applicability, and recommends solutions that improve usability, efficiency, and business value. Defines testing strategies and methodologies for system enhancements, upgrades, deployments, and integrations. Develops test scripts and use cases, coordinates user acceptance testing, validates solutions meet business requirements, and ensures successful implementation with minimal business disruption. Applies technical expertise to analyze system and business data, identify process improvement opportunities, and optimize system utilization.
- Serves as the lead trainer and change champion, driving system adoption through the development of job aids, process documentation, training materials, and user communications. Delivers functional training and support through a variety of methods, including virtual learning, self-service resources, video tutorials, and one-on-one coaching. Maintains process documentation and knowledge resources to ensure information remains accurate, current, and accessible to users. Leads communication initiatives that promote awareness, adoption, and effective use of system capabilities by highlighting their business value and benefits to end users.
- Researches, evaluates, and recommends emerging technologies and innovative solutions that improve efficiency, streamline operations, and strengthen creative technology capabilities. Serves as a subject matter expert for managed technology solutions, providing guidance on capabilities, best practices, and business value. Champions technology solutions, promoting user adoption and a strong understanding of their capabilities and value to the organization.
