The CLINICAL AFFAIRS MANAGER serves as the operational and administrative partner to Clinical Affairs leadership and manages a defined portfolio spanning clinical initiatives, Epic charge integrity, documentation and health information processes, clinical systems workflows, and regulatory readiness. The position serves as the designated departmental Epic Charge Guardian for Optometry Clinical Services. In partnership with faculty, providers, clinic leadership, Epic teams, Guidehouse, Health Information Management, Information Technology, and other institutional partners, the Manager monitors the clinical-to-billing workflow, coordinates resolution of charge and documentation issues, and supports effective adoption and optimization of the electronic health record. Reporting to the Director, Clinic Operations, the Manager translates approved clinical and operational priorities into organized implementation plans, coordinated work, measurable follow-through, and sustainable standard processes. The role provides meaningful relief to Clinical Affairs leadership by assuming non-licensed administrative, project, compliance, and implementation responsibilities while preserving clinical judgment, scope-of-care decisions, and faculty leadership with the appropriate clinical authority.
RESPONSIBILITIES\:
Clinical Affairs Operations and Leadership Support\: Serves as the primary operational and administrative partner to Clinical Affairs leadership for assigned priorities, programs, committees, and initiatives. Coordinates implementation of approved clinical initiatives, quality programs, specialty services, provider workflow changes, and patient-care improvement efforts. Develops project plans, timelines, meeting materials, decision summaries, status reports, and implementation tools supporting Clinical Affairs priorities. Facilitates Clinical Affairs workgroups and operational task forces; tracks decisions, action items, responsible parties, dependencies, risks, and completion status. Coordinates the non-licensed operational components of faculty and provider initiatives while ensuring clinical judgment, scope-of-care decisions, and faculty oversight remain with authorized clinical leadership. Supports accreditation, regulatory, quality, patient-experience, and clinical readiness activities through document coordination, evidence collection, gap tracking, and implementation follow-through. Coordinates operational planning for new or revised clinical services, including stakeholder engagement, workflow documentation, readiness assessment, communication, and post-implementation monitoring. Serves as liaison among Clinical Affairs, Clinic Operations, academic programs, faculty, providers, Epic teams, Guidehouse, and institutional support departments.
Epic Charge Guardian and Revenue Integrity\: Serves as the designated departmental Epic Charge Guardian and subject matter resource for assigned charge capture workflows. Monitors charge-related workqueues, charge exceptions, reconciliation activity, charge lag, missing or delayed charges, duplicate-charge concerns, and other approved indicators. Coordinates timely research and resolution of charge and workflow discrepancies with providers, clinic teams, Epic support, Guidehouse, and revenue-cycle partners. Performs or coordinates routine encounter-to-charge reconciliation and documentation-to-charge reviews in accordance with approved policies and controls. Identifies recurring operational, documentation, training, or system issues that may contribute to inaccurate charge capture or revenue leakage. Maintains standardized escalation, follow-up, and reconciliation processes; communicates material financial, compliance, or workflow risks to the Director, Clinic Operations and appropriate leaders. Produces trend summaries and practical recommendations to strengthen charge accuracy, workflow reliability, and accountability across the clinical-to-billing process.
Health Information and Documentation Integrity\: Coordinates departmental processes that support accurate, complete, timely, and appropriately managed clinical records. Monitors assigned documentation deficiencies, chart completion activities, record-correction requests, scanning and indexing workflows, and related queues or reports. Partners with institutional Health Information Management, Compliance, Privacy, and Legal resources as appropriate to implement established requirements for record management, retention, correction, and release of information. Maintains departmental procedures, standard work, and education related to documentation and health information workflows. Identifies recurring documentation or record-integrity concerns and coordinates education, workflow correction, or escalation through established channels. Supports documentation audits, compliance reviews, accreditation preparation, corrective-action tracking, and sustained follow-through.
Clinical Systems Governance and Optimization\: Serves as an operational subject matter resource for assigned Epic and clinical information workflows. Coordinates intake, documentation, prioritization, testing, validation, communication, and follow-up for system and workflow issues within the assigned portfolio. Participates in testing.
