The Administrative Coordinator is the first face visitors and staff see at Myomo! Keys to success include an ability to balance professional warmth, hospitality, and courtesy with top-notch organizational skills, attention to detail, ability to anticipate needs, and follow through on competing priorities.
This is a part-time position, 20-25 hours a week.
- Interact tactfully with internal and external contacts at all organizational levels including the Executive team, displaying a strong commitment to professional ethics. Safeguard confidential information, handling delicate matters with sensitivity.
- Manage office operations, ensuring spaces are well-organized and presentable including conference rooms, reception area, and public-facing areas.
- Provide support to Executive leadership as needed; schedule group meetings, assisting with presentations, processing expense reports, booking travel and hotel reservations, and arranging catering for meetings and corporate events.
- Monitor, order, and restock office supplies and kitchen items, planning stock levels in advance.
- Track office purchases and expenses against the approved budget, flagging potential overruns before placing orders.
- Serve as the primary point of contact for repair and maintenance needs, coordinating with campus personnel.
- Ensure employees can access pertinent information regarding office policies and procedures.
- Receive and sort incoming mail, managing outgoing mail.
- Coordinate new office set-up for new hires in a timely manner when appropriate.
- Assist Human Resources with employee engagement activities.
- Perform other duties as assigned.
- Minimum of 5 years’ experience in administrative positions or similar.
- Must be customer-service and/or guest experience-oriented.
- Ability to maintain a high degree of confidentiality, poise, and professionalism.
- Excellent verbal and written communication skills.
- Must have intermediate-to-advanced knowledge of Excel, PowerPoint, and SharePoint as well as a strong understanding of business processes.
- Strong attention to detail and organizational skills.
- Capacity to learn quickly while displaying adaptability to change course when appropriate.
- Some experience with event planning and/or making travel arrangements or similar.
- Healthcare or technology industry experience may be a plus.
