DEKRA Arbeit GmbH is seeking a dedicated and reliable Administrative
Assistant (m/f/d) Finance for a company in the finance sector in
Frankfurt am Main. In this role, you will provide general
administrative and organizational support, including meeting
coordination, document preparation, correspondence, and internal task
coordination.
Responsibilities:
- Coordinate and provide administrative support for meetings,
workshops and events related to Direct Supervision activities,
including Right-to-Be-Heard and transfer-of-powers processes.
- Prepare agendas, meeting materials, minutes and action logs, and
follow up on agreed actions and deadlines.
- Support the preparation, compilation, maintenance and structured
filing of case files, correspondence and supporting documentation
relating to supervised entities.
- Assist with the preparation, submission and tracking of documents
requiring Executive Board and General Board review and approval.
- Maintain calendars, contact lists, decision and action trackers, and
other planning and administrative records.
- Provide administrative and organisational support to supervisors and
the wider team, including onboarding and training activities.
- Coordinate administrative interactions with NCAs, supervised
entities and internal stakeholders.
- Support recruitment and onboarding processes, including candidate
communication, interview scheduling and organisational arrangements.
Requirements:
- Secondary education
- 1-5 years of administrative experience
- MS Office package: Outllok, Word, Excel, PPT.
- Document management experience
- English is the standard working language and therefore a C1 level is
required
- Strong ability to draft clear, accurate and well-structured
documents in English.
- Strong organisational and meeting coordination skills.
- Excellent organisational skills and ability to work independently
under pressure and tight deadlines.
- Strong service orientation and problem-solving skills.
- Excellent communication and interpersonal skills.
