The Opportunity
Join Abbott’s Global Procurement Services (GPS) team as an Administrative Assistant supporting senior leadership, including a Divisional Vice President and other key executives. This highly visible role is ideal for a detail-oriented professional who thrives in a fast-paced environment, enjoys managing complex schedules and priorities, and can handle sensitive information with discretion and professionalism.
What You’ll Work On
- Provide administrative support to senior GPS leaders, including calendar management, meeting coordination, and travel arrangements
- Screen and manage phone calls, correspondence, and visitor interactions with professionalism and discretion
- Prepare and process expense reports, invoices, purchase requisitions, and other business documentation
- Coordinate domestic and international travel, while proactively identifying and resolving scheduling conflicts
- Create, edit, and maintain presentations, spreadsheets, reports, and other business materials using Microsoft Office tools
- Schedule and support virtual meetings through Microsoft Teams, Zoom, and other collaboration platforms
- Assist with contract routing, signature processing, and document review for completeness
- Coordinate new employee onboarding activities, including office setup and technology access
- Order office supplies, business cards, and other departmental resources
- Serve as a liaison for administrative and technology-related support requests
- Maintain confidentiality while handling sensitive business and employee information
- Collaborate across functions and provide backup support to other administrative professionals as needed
- Ensure compliance with company policies, procedures, and administrative processes
Required Qualifications
- High school diploma or equivalent
- 3+ years of administrative support experience, preferably supporting senior leaders or executives
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
- Proven ability to handle confidential information with a high level of discretion
- Intermediate to advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
- Experience managing complex calendars, coordinating meetings, and arranging travel
- Strong written and verbal communication skills
- Ability to work effectively with executives, colleagues, vendors, and external partners
- Exceptional attention to detail and problem-solving skills
Preferred Qualifications
- Some college coursework or an associate’s degree
- Experience supporting vice presidents, directors, or other senior-level leaders
- Experience with Concur, Workday, SharePoint, SRM, and Microsoft Power Apps
- Familiarity with Adobe Acrobat, Visio, OrgPlus, or similar business applications
- Experience coordinating onboarding activities for new employees
- Ability to anticipate needs, take initiative, and work independently with minimal supervision
- Demonstrated success in a fast-paced corporate environment
- Experience supporting procurement, supply chain, or other business operations teams is a plus

The base pay for this position is
$22.50 – $45.00/hourIn specific locations, the pay range may vary from the range posted.
